Terms & Conditions
Last updated: 1 September 2026
1. About these terms
These terms govern the use of Voice Harbour's AI receptionist service by business customers ("you", "your business"). By signing up for or using the service, you agree to these terms. Voice Harbour ("Voice Harbour", "we", "us") is a UK-based business providing this service.
2. The service
Voice Harbour provides an AI receptionist that answers incoming calls to your business, speaks naturally with callers, answers common questions using information you provide, takes messages, captures leads, handles routine enquiries, and can transfer calls where configured to do so.
3. AI limitations
Voice Harbour uses artificial intelligence to understand and respond to callers. Like any AI system, it may occasionally misunderstand a caller, make an error, or handle an unusual situation imperfectly. It is not a substitute for human judgement in urgent, safety-critical or highly sensitive situations. You're responsible for reviewing messages and enquiries it captures and for having a sensible fallback (such as a mobile number for genuine emergencies) where that matters to your business.
4. Your responsibilities
- Providing accurate, up-to-date information about your business for the AI receptionist to use.
- Complying with applicable law in how you use the service, including telecoms regulations and, where relevant, informing callers that they may be speaking with an AI assistant.
- Keeping your account details and any connected phone numbers accurate and current.
- Using the service for legitimate business purposes only.
5. Plans and pricing
Current plans are:
- Founding Customer — £49/month, limited to the first 10 Voice Harbour customers.
- Starter — £99/month.
- Business — £199/month.
Prices are shown in GBP. Your exact call allowance and any additional usage charges will be confirmed before payment.
6. Billing
Subscriptions are billed monthly in advance via Stripe, starting from the date you subscribe. Your subscription automatically renews each month unless cancelled in accordance with section 8. If a payment fails, Stripe will attempt to retry it; if payment cannot be collected after a reasonable number of attempts, we may suspend or terminate the service until payment is resolved.
7. Founding Customer offer
The £49/month Founding Customer price is available only to the first 10 businesses that subscribe to Voice Harbour, and may be withdrawn once that limit is reached or at our discretion for future signups. Existing Founding Customers keep their price for as long as their subscription remains active and in good standing, unless otherwise agreed.
8. Cancellation
You may cancel your subscription at any time by emailing hello@voiceharbour.co.uk (or via the Stripe customer portal, if enabled for your account). Cancellation takes effect at the end of your current billing period; you'll retain access to the service until then. We do not currently offer partial refunds for the unused portion of a billing period, except where required by law.
9. Refunds
Beyond the cancellation terms above, refunds are considered on a case-by-case basis at our discretion, and in line with your statutory rights as a business or consumer under UK law where applicable.
10. Service availability
We aim to keep Voice Harbour available and reliable, but the service depends on third-party providers (including our AI voice platform and telephony partners) and internet connectivity, so we cannot guarantee uninterrupted availability. We'll make reasonable efforts to notify you of any planned maintenance likely to affect the service.
11. Acceptable use
You agree not to use Voice Harbour for any unlawful purpose, to harass or deceive callers, to attempt to disrupt or reverse-engineer the service, or to submit content or instructions to the AI receptionist that would cause it to act unlawfully or unsafely.
12. Your business information
You retain ownership of the business information you provide to configure your AI receptionist. You grant us a licence to use that information solely to provide and support the service to you. See our Privacy Policy for how we handle personal data.
13. Confidentiality
Each party will keep the other's confidential business information private and use it only as needed to perform under these terms, except where disclosure is required by law.
14. Intellectual property
Voice Harbour retains all rights in the Voice Harbour platform, software and branding. Nothing in these terms transfers ownership of our intellectual property to you. You retain rights to your own business name, content and materials.
15. Liability
Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot lawfully be limited or excluded. Subject to that, we are not liable for indirect or consequential losses, and our total liability arising from your use of the service in any 12-month period is limited to the fees you paid us in that period.
16. Termination
Either party may terminate the agreement in accordance with the cancellation terms above. We may suspend or terminate your access immediately if you materially breach these terms, misuse the service, or fail to pay outstanding fees after a reasonable opportunity to resolve it.
17. Changes to the service or these terms
We may update the service or these terms from time to time, for example to reflect new features, legal requirements, or changes to our providers. We'll give you reasonable notice of material changes where practical. Continuing to use the service after changes take effect means you accept the updated terms.
18. Governing law
These terms are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
19. Contact
Questions about these terms can be sent to hello@voiceharbour.co.uk or via the contact page.
